Special Meet Format

To accommodate those swimmers wishing to compete in both the 1000Y Freestyle and the 1650Y Freestyle events, only those swimmers entered in Events 1 or 2 (1000Y Freestyle) will be permitted to enter Events 5 or 6 (1650Y Freestyle) being swum on Monday (President's Birthday.)  Those swimmers wishing to only swim the 1650 Y Freestyle must enter Events 3/4 and compete on Sunday.

Eligibility: 

Meet open to all Potomac Valley Swimming registered athletes age 10 years old and older. 

Qualifying Time: 

 1000Y Freestyle -- Minimum provable time to enter the 1000Y Free is 15:00.00.  Athletes wishing to enter the 1000 Freestyle who do not have a provable 1000Y/800M Free time under 15:00.00 must have a provable time in the 400M/500Y Free of 7:20.00 or faster.  These athletes will be entered into the 1000Y Freestyle with their 400M/500Y time and will be seeded after all 1000Y/800M times have been seeded.  After times are verified, all LCM times will be converted for seeding purposes.

If entering an athlete into the 1000Y Free with a 500Y/400M Free time, enter your swimmer based on actual time showing course swum -- do not convert.  Please mark swimmers entering with 500Y/400M times as exhibition.  If the entry time into 1000Y is an intermediate split from a 1650Y/1500M, please indicate meet swum so intermediate time can be verified.

1650Y Freestyle -- Minimum provable time to enter the 1650Y Free is 25:00.00.  Athletes wishing to enter the 1650 Freestyle who do not have a provable 1650Y/1500M Free time under 25:00.00 must have a provable time in the 800M/1000Y of 15:00.00 or faster.  These athletes will be entered into the 1650Y freestyle with their 800M/1000Y time and will be seeded after all 1650Y/1500M times have been seeded.  After times are verified, all LCM times will be converted for seeding purposes.

If entering an athlete into the 1650Y Free with a 1000Y/800M Free time, enter your athletes based on actual time showing course swum -- do not convert.  Please mark swimmers entering with 1000Y/800M times as exhibition.

All swimmers will be eligible for awards regardless of entry time used.

Coaches who have swimmers who they believe can complete the event(s) faster than the QT's, but who do not satisfy the entry rule, may petition the PVS Distance Coordinator, Bill Marlin at coach_bill@verizon.net for an exception.  The petition should provide specific evidence why they believe the swimmer can complete the event within the QT.  All petitions must be submitted prior to the entry deadline.

Warnings: 

Any club that enters an unregistered or improperly registered athlete, falsifies an entry in any way, or permits an unregistered coach to represent them, will be fined the sum of $100.00 per occurrence and no further entries will be accepted from that club until the said fine has been paid. 

Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.

Rules: 

The competition will be conducted in accordance with current USA Swimming rules.

No On-Deck USA-S registrations will be permitted.
  

Inclusion Policy for Swimmers with a Disability:

PVS and host clubs along with their Meet Directors are committed to the Inclusion Policy as adopted by the BOD. Athletes with a disability are welcomed and are asked to provide advance notice of desired accommodations to the Meet Director. The athlete (or the athlete’s coach) is also responsible for notifying the session referee of any disability prior to the competition.

Order of Swims: 

The meet will be seeded and swum according to submitted entry times regardless of age. Heats will be swum fastest to slowest, alternating Women and Men.  All heats of Events 1 and 2 (1000Y) will be swum before swimming Events 3 and 4 (1650Y).

Expected swim times, and check in requirements will be posted to the PVS Web Page at www.pvswim.org no later than Wednesday February 11, 2009.

Warm-up: 

The prescribed Potomac Valley Swimming warm-up procedures and safety policies will be followed. The meet director may determine the structure of the warm-up, including times and lane assignments. During the meet there will be continuous warm-up/warm-down water. Persons will be assigned to monitor these areas. If at any time conditions become unsafe, the area will be closed for the remainder of the session.

Awards 

Medals will be awarded to sixth place separately in the following age groups: 10, 11, 12, 13, 14, and 15 and Over.

Important:  For the purpose of presenting awards, the results of Events 3/5 and 4/6 will first be combined.  

Officials: 

All certified officials wishing to volunteer to work this meet please contact the FAST Officials Chairman, Rick Moyer at rcmoyerii@yahoo.com prior to February 3, 2009. Please include your club affiliation, certifications held and sessions you wish to work. Officials volunteering should sign in at the recording table prior to the start of Warm-ups. Certified officials who have not previously advised of their availability may volunteer their services to the Referee at this time.

Timers:

Each swimmer must provide their own timer (required) and if desired, a lap counter.

Supervision: 

Coaches are responsible for the conduct of their swimmers and for cleaning up their team areas. 

Fees: 

All entries are $5.00. 

Admissions/ Programs:

There is no admission charge. A complimentary copy of the Psych sheet will be provided to coaches and working officials.

Meet Entry Procedures: 

General Instructions:

  • Entries should be submitted using Hy-Tek Team Manager via e-mail.   Include in the e-mail subject heading "2009 PVS February Distance - ****" with the club's initials substituted in place of the asterisks.  Also include training site if your club submits multiple entries and number of timers being committed.
  • Two Team Manager meet entry reports (saved in Word) must also be sent:  (1) by swimmer and (2) by event.
  • In body of e-mail give total number of splashes (men, women, total entry) and contact information (name, phone, e-mail address)
  • Meet Directors are requested to acknowledge receipt by return e-mail within 24 hours. Clubs submitting entries that do NOT receive an acknowledgement should contact the Meet Director by other than e-mail to confirm receipt.
  • Each club is requested to remit one check via USPS to cover the entry fees for the entire team. Please put the club name on the entry check (if not a club check) and note the number of entries. Please do not send cash. Meet directors have been instructed not to accept telephone or fax entries.
    • Entries not submitted on the required forms, not complete, not legible or not in the required electronic format, will not be accepted and will be returned. The Meet Director will not be held responsible if there is no time to properly resubmit the entry.
    • Individual or unattached entries will only be accepted by manual entry sent to the address listed below.

Manual Entries:

  • Manual entries must be submitted on the PVS master entry sheet.  Also submit a completed "entry cover sheet".  Signature and phone number of a club official must be included with entry for validation of entries.
  • There will be a $1.00 surcharge per athlete for manual entries of 10 or more.

The Meet Director will provide a lane timing card when the athlete checks in to swim.

NO LATE OR DECK ENTRIES ARE PERMITTED FOR DISTANCE MEETS.

Please review the instructions in the "Qualifying Time" section before submitting your entries.

Entry Deadline: 

Entries must be received by the Meet Director no later than: 

5:00 p.m., Tuesday, February 3, 2009
 

Important: The above date is the deadline for clubs to submit their entries to the Meet Director. Therefore, clubs usually set an earlier deadline to receive entries from their swimmers. Check with your club for this information.
