Part-time Administrative Position

Potomac Valley Swimming, the governing body for competitive swimming in the National Capital Area. It is governed by an 11 person volunteer Board of Directors. PVS is seeking candidates for a part-time, work-at-home, administrative position. The Administrative Assistant will support the day to day activities of the organization. Compensation will be provided based upon the type, frequency and complexity of the duties that the individual undertakes.

Much of the work to be performed is now done by volunteers. PVS has determined that some of these functions need to be transferred to this administrative position and other functions will still be shared with volunteers. Generally, the functions will be divided into the task areas of office management, routine website maintenance, meet support, committee support, and special events. Initially, the position is expected to be approximately half-time, but this is subject to adjustment depending on our mutual experiences.

Successful candidates should have a working knowledge of the PVS swimming community, including meet management, rules and regulations, and the general organization of our member clubs. The position will require strong computer skills including those related to website maintenance, familiarity with office management protocol, and experience in managing the affairs of non-profits. The time requirements are flexible consistent with achieving key deadlines. Attendance and participation at monthly Board of Directors meetings, Competition Committee meetings (3 times/year), annual House of Delegates meeting and other designated events will be required.

Below are examples of the types of functions that may be part of this position:

Administrative Support - Serve as the primary point of contact for routine inquiries, Distribute routine information to the PVS Board and thru the PVS Flash Mail system, Performs routine updates of the PVS website. Prepare, keep and distribute meeting minutes, agendas, prepare material for designated agenda items for the Board of Directors, Competition Committee and the House of Delegates; maintain policy and procedures manual; arrange meeting space, etc. Assist the General Chairman in monitoring the timely completion of LSC activities/responsibilities.

Meet Support - Assist in the review, updating and issuance of meet announcements, arrange for pools for PVS sponsored meets, assign teams to sites when multiple sites are being used, rebalance entries as necessary, work with meet directors, assure the filing of and processing of post meet reports, etc.

Committee Support - Maintain committee files, provide administrative support for Officials and Competition committees, keep designated materials inventory and meet forms, order awards, prepare/update material for web posting, etc.

Special Events - Make arrangements for PVS participation in the annual USAS Convention (Sept) and separate Eastern Zone Meeting (May), assist zone coordinator with PVS's participation in both the short course and long course Eastern Zone meets.
