Inclusion Policy for Swimmers with a Disability:

PVS and host clubs along with their Meet Directors are committed to the Inclusion Policy as adopted by the BOD. Athletes with a disability are welcomed and
are asked to provide advance notice of desired accommodations to the Meet Director. The athlete (or the athletes coach) is also responsible for notifying the
session referee of any disability prior to the competition.
Warnings: |
Any club that enters an unregistered or improperly registered athlete, falsifies an entry in any way, or permits an unregistered coach to represent them, will be fined the sum of $100.00 and no further entries will be accepted from that club until the said fine has been paid.
Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.
Rules: |
Current USA Swimming rules shall govern the meet. All events are timed finals. A contestant may enter no more than FIVE events per day or ELEVEN events during the meet.
SEED TIMES ARE SHORT COURSE YARDS
Events 5-6 9-12 year old 500 Freestyle will be swum fast to slow alternating women and men. It will then be followed by Events 7-8 13&over 1650 Freestyle which will also be swum fast to slow alernating women and men.
Positive Check
In: |
All events 200 Yards or longer will be deck seeded. The Meet Director will determine if positive check-in will be required for any events of 100 Yards or shorter. Athletes who check in to a deck-seeded event, have been seeded, and fail to swim the event will be barred from their next scheduled individual event, unless excused by the Referee before the event takes place.
Warm-up: |
The prescribed Potomac Valley Swimming warm-up procedures and safety policies will be followed. The Meet Director may determine the structure of the warm-up, including times and lane assignments.
Officials: | All certified officials wishing to volunteer to work this meet please contact the appropriate club officials chairman shown above prior to November 7 (Mt Vernon site) or November 14 (PGS&LC sites). Please include your club affiliation, certifications held and sessions you wish to work. Officials volunteering should sign in at the recording table prior to the start of Warm-ups. Certified officials who have not previously advised of their availability may volunteer their services to the Referee at this time.
Timers: |
Participating clubs are required to provide timers in proportion to their entries. A timer is required for each 25 entries. The number of timers being committed must be included on the club master entry. The number of timers required will be adjusted when club is providing other officials. Acceptance of the club entry is based upon compliance with the above. Host clubs are required to provide one timer per lane.
Supervision: |
Coaches are responsible for the conduct of their swimmers and for cleaning up their team areas.
Admission
Programs: |
There is no admission charge.
Programs for each session will be available for $2.00 each. (Friday evening session will be $1.00) Working officials and coaches receive a free program.
Awards: |
Ribbons will be provided to top 8 swimmers in 9-10, 11-12 and 9-12 year old events.
Fees: |
Fees for individual events are $3.50.
Meet Entry
Procedures: |
General Instructions:
- Entires may be submitted (1) manually, (2) by sending a disk to the meet direcrtor or (3) via e-mail.
Follow the instructions under the appropriate heding below. The immediately following rules apply regardless of method chosen.
Manual Entries:
- Manual entries must be submitted on the PVS master entry sheet. Also submit a completed "entry cover sheet". Signature and phone number of a club official must be included with entry for validation of entries. .
- There will be a $1.00 surcharge per athlete for manual entries of 10 or more.
Disk Entries:
- Submit the Hy-Tek commlink II file along with an "entry cover sheet." The team manager meet entry report files must also be sent one by swimmer and one by event. The name and phone number of the club representative submitting the email must also be included.
E-mail Entries:
- Club E-mail entries will be accepted provided the transmission time is prior to entry deadline.
- Attach one report by event, one by name (save as Word for Windows in Team Manager)
- Attach commlink file
- In body of e-mail give total number of splashes (men, women, total entry) and contact information (name, phone, e-mail address)
- Remember to also send entry fee check via USPS
- Clubs submitting by email should submit entries to appropriate meet director (listed below.) Include in the subject heading type, "2004 PVS November Open - ****" with the club's initials substituted in place of the asterisks. If the club is submitting entires from more than one location, please add the location to the heading with the club initials.
- Meet Directors are requested to acknowledge receipt by return e-mail within 24 hours. Clubs submitting entries that do NOT receive an acknowledgement should contact the Meet Director by other than e-mail to confirm receipt.
Late/Deck Entries: |
Late (deck) entries are $10.00 per individual event and must be submitted no later than 45 minutes prior to the first event of each session. Swimmers will first be entered into open lanes in existing heats on a first come, first served basis. In the event of a significantly over subscribed session, the Meet Director reserves the right to not accept deck entries.
Deadline: |
The Meet Director must receive all entries for this meet no later than
5:00 p.m., Tuesday, November 2, 2004 FOR ALL SITES
Important: The above date is the deadline for clubs to submit their entries to the Meet Director. Therefore, clubs usually set an earlier deadline to receive entries from their swimmers. Check with your club for this information.
