Eligibility:

Open to all registered Potomac Valley Swimming athletes. A contestant may participate in only his or her own age group.

Inclusion Policy for Swimmers with a Disability

PVS and host clubs along with their Meet Directors are committed to the Inclusion Policy as adopted by the BOD . Athletes with a disability are welcomed and are asked to provide advance notice of desired accommodations to the Meet Director and PVS Age Group Chairman (Greg York at gjyork@comcast.net). The athlete (or the athlete’s coach) is also responsible for notifying the session referee of any disability prior to the competition.

Qualifying Times

Contestants must have equaled or bettered the applicable no slower than (NST) SCY or LCM times listed. SCY times will be seeded as conforming times. Qualifying times must have been achieved subsequent to February 28, 2003.

Warnings:

Any club that enters an unregistered or improperly registered athlete, falsifies an entry in any way, or permits an unregistered coach to represent them, will be fined the sum of $100.00 and no further entries will be accepted from that club until the said fine has been paid.

All entry times and USA Swimming memberships are subject to verification. Any athlete not achieving a QT, may be asked to prove the entry time to the Meet Director prior to the end of the meet.

Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.

Rules:

Current USA Swimming rules shall govern the meet. All events are timed finals. A contestant may enter no more than three events per day or six for the meet. Positive check-in is required for all individual and relay events 400 yards and longer These events will be seeded on the deck. Swimmers and relay teams not checked-in will be scratched from that event. Athletes who have checked in, been seeded, and fail to swim the event will be barred from their next scheduled individual event.

No late entries are permitted for this meet.

Individual Events:

All individual events are trials and finals, except the 11-12 500 Freestyle, 10 & Under 500 Freestyle, and the 1000 & 1650 Freestyle, which will be timed finals. Except as noted above, the 10 & Under events will have 1 final heat. The 11-12, 12 & Under, 13-14, and 14 & Under events will have two final heats which will be swum fastest to slowest. A contestant may compete in a maximum of six (6) individual events, and compete in no more than three (3) individual events per day.

Special Note: It is anticipated preliminaries for athletes age 11 and older will be conducted in separate courses for Men and Women. Athletes should select their events with that in mind.

Timed finals for:
10/U 11-12 500 Freestyle
14/U 1000 & 1650 Freestyle

The 10 & Under 500 Freestyle, 11-12 500 Freestyle, 14 & Under 1000 and 1650 Freestyle events will be swum fastest to slowest. Except for the 10 & Under 500 Freestyle, they will alternate women and men if only one course is used. If two courses are used, the slowest heats may be moved to permit both courses to finish at approximately the same time. The fastest heat of the Women's 1000 and Men's 1650 Frestyle will be swum as the first event of the evening program on Sunday. Positive check-in is required. Verification of time must be submitted with entry.

Relays:

All relays are timed finals and will be swum in preliminary sessions. Exception: The fastest heat of the 13-14 800 Freestyle Relays will be swum as the last event of Friday eventing.

There is no limit on the number of entries per club, but only two relay teams per club per relay event may score.

Withdrawing from Finals:

PVS scratch rules apply for swimmers scratching finals. If a swimmer fails to properly scratch from a final event and does not appear for the final, he/she "will be barred from further competition for the remainder of the meet".

Awards:

Medals will be awarded 1st through 8th place for individual events and 1st through 3rd place for relay events. High point awards will be presented to the male and female athlete who have the highest point totals in the following age groups: 10 & Under, 11-12 & 13-14. This will be based on points actually earned in the events swum. (Relay events will NOT be used to determine high point awards.)

All certified officials wishing to volunteer to work this meet please contact the OCCS Officials Chairman, May-King Connolly 703-590-1144 connolly.five@verizon.net prior to March 6 Please include your club affiliation, certifications held, and sessions you wish to work. Officials volunteering should sign in at the recording table prior to the start of Warm-ups. Certified officials who have not previously advised of their availability may volunteer their services to the Referee at this time.

Timers:

Participating clubs are required to provide timers in proportion to their entries. The meet director will determine the number of timers per club and lane assignments. The host club is required to provide one timer per lane.

Supervision:

Coaches are responsible for the conduct of their swimmers and for cleaning up their team areas.

Credentials:

Parents not working the meet as a deck official, volunteer lane timer, or other meet position are not permitted on deck. Only athletes, USA Swimming certified coaches, and deck officials are permitted on the pool deck. Coaches and deck officials are required to display their current USA Swimming card.

Admission Programs:

There is no admission charge. The meet program will be available for $10.00 and will include a finals program coupon for each finals session. Working Officials will receive a daily program free.

Fees:

Fees for individual events are $5.00; relay events are $10.00.

Meet Entry Procedures:

General Instructions:

  • Entires may be submitted (1) manually, (2) by sending a disk to the meet director or (3) via e-mail.
  • Follow the instructions under the appropriate heding below. The immediately following rules apply regardless of method chosen.
    • Each club is requested to remit one check to cover the entry fees for the entire team. Please put the club name on the entry check (if not a club check) and note the number of entries. Please do not send cash. Meet directors have been instructed not to accept telephone or fax entries.
    • Entries not submitted on the required forms, not complete, not legible or not in the required electronic format, will not be accepted and will be returned. The Meet Director will not be held responsible if there is no time to properly resubmit the entry.
    • Individual or unattached entries will only be accepted by manual entry sent to the address listed below or by e-mail containing all the particulars required by the master entry sheet.
    • Optional: Before preparing your entries, events and SCY/LCM QT's for this meet can be downloaded and then imported into team manager (go to team manager/file/import/meet events). The file is NOW available zipped. "28mm031005.zip"
Manual Entries:
  • Manual entries must be submitted on the PVS master entry sheet. Also submit a completed "entry cover sheet". Signature and phone number of a club official must be included with entry for validation of entries. Short course entry times must be designated with a capital letter "Y".
  • There will be a $1.00 surcharge per athlete for manual entries of 10 or more.
Disk Entries:
  • Submit the Hy-Tek commlink II file along with an "entry cover sheet." The team manager meet entry report files must also be sent one by swimmer and one by event. The name and phone number of the club representative submitting the email must also be included.
  • All relays may be submitted in Hy-Tek (commlink II file) or on PVS master entry sheet.

Important: The above date is the deadline for clubs to submit their entries to the Meet Director. Therefore, clubs usually set an earlier deadline to receive entries from their swimmers. Check with your club for this information.
