Eligibility:

Open to all Potomac Valley Swimming registered athletes. Also, open to registered athletes of invited USA Swimming clubs. Clubs interested in participating should request an invitation from the PVS Senior Chairman, Riley Eaton at 301-367-2819 or jreaton@verizon.net or the PVS Age Group Chairman, Bill Marlin at 571-334-0987 or coach_bill@verizon.net.   Swimmers shall compete at the age attained on the first day of the meet. It may be necessary to limit entries due to time constraints.

Warnings:

Any club that enters an unregistered or improperly registered athlete, falsifies an entry in any way, or permits an unregistered coach to represent them, will be fined the sum of $100.00 and no further entries will be accepted from that club until the said fine has been paid.

Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.

Rules:

Current USA Swimming rules shall govern the meet. All events are timed finals. A contestant may enter no more than three events.

SEED TIMES ARE LONG COURSE METERS

No on-deck USA-S registration is permitted.

Swim suit Rule:

Effective May 15, 2009: For 12 & Under swimmers, swimsuits worn in all 12 and Under Age Group defined competition or Open or non-designated competition that includes either scoring or awards by age, shall not cover the neck, extend past the shoulder, nor past the knee. Violators will be barred from competition until the swimmer’s swimsuit meets the requirements of this paragraph.

 

A second suit, including drag suit, cannot be worn during competition. Read the USA Swimming interpretation of this rule, and the USA Swimming clarification of the interpretation.

 

Inclusion Policy for Swimmers with a Disability:

PVS and host clubs along with their Meet Directors are committed to the Inclusion Policy as adopted by the BOD. Athletes with a disability are welcomed and are asked to provide advance notice of desired accommodations to the Meet Director. The athlete (or the athlete’s coach) is also responsible for notifying the session referee of any disability prior to the competition.

Positive Check In: 

All events are positive check-in at both locations.

Warm-up:

The prescribed Potomac Valley Swimming warm-up procedures and safety policies will be followed. The Meet Director may determine the structure of the warm-up, including times and lane assignments.

Officials:

Each participating club is requested to provide at least one table worker or official (referee, starter or stroke and turn judge) per session if entering 25 or more splashes.

All certified officials wishing to volunteer to work this meet please contact the appropriate club officials chairman or meet referee as shown above prior to June 23. Please include your club affiliation, certifications held and sessions you wish to work. Officials volunteering should sign in at the recording table prior to the start of Warm-ups. Certified officials who have not previously advised of their availability may volunteer their services to the Referee at this time.

Timers:

Participating clubs are required to provide timers in proportion to their entries. A timer is required for each 25 entries. The number of timers being committed must be included on the club master entry. The number of timers required will be adjusted when club is providing other officials. Acceptance of the club entry is based upon compliance with the above. Host clubs are required to provide one timer per lane.

Supervision:

Coaches are responsible for the conduct of their swimmers and for cleaning up their team areas.

Admission/ Programs:

There is no admission charge. Programs for each session will be available for a price not to exceed $2.00 each. Working officials and coaches receive a free program.

Concessions:

There will be no concessions available for athletes and spectators at this meet.

Awards:

There are no awards at this meet.

Fees:

Fees for individual events are $3.75.

Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.

Meet Entry Procedures:

General Instructions:

  • Entries should be submitted using Hy-Tek Team Manager via e-mail.  Events for this meet can be downloaded at 09-60-events.zip Include in the e-mail subject heading "2009 PVS Sr/Age II - ****" with the club's initials substituted in place of the asterisks.  Also include training site if your club submits multiple entries and number of timers being committed.
  • Two Team Manager meet entry reports (saved in Word) must also be sent:  (1) by swimmer and (2) by event.
  • In body of e-mail give total number of splashes (men, women, total entry) and contact information (name, phone, e-mail address)
  • Meet Directors are requested to acknowledge receipt by return e-mail within 24 hours. Clubs submitting entries that do NOT receive an acknowledgement should contact the Meet Director by other than e-mail to confirm receipt.
  •  

Each club is requested to remit one check via USPS to cover the entry fees for the entire team. Please put the club name on the entry check (if not a club check), the number of entries, and the meet name or sanction number on your check. Please do not send cash. Meet directors have been instructed not to accept telephone or fax entries.

    • Entries not submitted on the required forms, not complete, not legible or not in the required electronic format, will not be accepted and will be returned. The Meet Director will not be held responsible if there is no time to properly resubmit the entry.
    • Individual or unattached entries will only be accepted by manual entry sent to the address listed below.

Manual Entries:

  • Manual entries must be submitted on the PVS master entry sheet.  Also submit a completed "entry cover sheet".  Signature and phone number of a club official must be included with entry for validation of entries.
  • There will be a $1.00 surcharge per athlete for manual entries of 10 or more.

Late/Deck Entries

Late (deck) entries are $10.00 per individual event and must be submitted no later than 45 minutes prior to the first event of each session. Swimmers will first be entered into open lanes in existing heats on a first come, first served basis. In the event of a significantly over subscribed session, the Meet Director reserves the right to not accept deck entries.

Evidence of current USA-S registration will be required for deck entries.  This can be done by presenting a copy of the athlete's USA-S athlete's registration card.

Deadline:

The Meet Director must receive all entries for this meet no later than

5:00 p.m., Tuesday, June 16, 2009.

Important: The above date is the deadline for clubs to submit their entries to the Meet Director. Therefore, clubs usually set an earlier deadline to receive entries from their swimmers. Check with your club for this information.
