	Background Check Reimbursement
	
	Reimbursement for Background Check – all registered USA Swimming/PVS officials are required to 
	pass the USA Swimming Level 2 background screening.
	
	Eligibility for Reimbursement:
	
	The official must work at least 6 sessions as a certified or apprentice official at PVS sanctioned 
	meets, meets hosted by PVS xlubs outside the LSC, and/or the Black History Invitational (as recorded in the Officials Tracking System) 
	within a year of the background check.
	
	
	
	- New officials or officials reregistering after a lapse in USA Swimming membership of at least 
	one year must submit request for reimbursement anytime after they complete their required number of 
	sessions (6 sessions) and at least 15 days prior to the end of the fiscal year (which is August 31).
- Returning officials must submit request for reimbursement within 60 days of payment of background 
	check and at least 15 days prior to the end of the fiscal year (August 31).  If membership has lapsed and the 
	official is charged for a new background check, only the typical amount for a returning official will be reimbursed.

	USA Swimming/PVS Registration Fee Reimbursement
	
	Reimbursement for USA Swimming/PVS Registration Fee - PVS will reimburse the annual USA-S registration (to the payer) for 
	PVS Officials reregistering after their first year of USA Swimming membership.
	
	Eligibility for Reimbursement:
	
	
	
	- Officials are eligible after their first year of membership in USA Swimming.
- Official must work at least 10 sessions during the previous calendar year as a 
	certified or apprentice official at PVS sanctioned meets, meets hosted by PVS clubs outside the LSC, and/or the Black History Invitational
	(e.g. to be reimbursed for 2025 registration fee, work at least 10 sessions in calendar year 2024). 
	Observed and approved meets or meets sanctioned by other LSC’s do not count for reimbursement purposes. 
- The reimbursement request form must be submitted by March 1st of the regisyion year and must include a receipt.

	Officials Travel Reimbursement
	
	The PVS Officials Education Travel Stipend is intended to assist with an official's travel 
	expenses to work higher level competition (e.g. Zone, Sectional, Futures, Nationals).
	
	
Eligibility for Reimbursement:
	
	
	
	- The official must be registered with PVS for at least six months prior to the meet 
	and be registered with USA Swimming through PVS as an official during the time of the 
	meet for which they are requesting assistance.
- The official must have worked a minimum of 12 sessions, at a minimum of four PVS sanctioned meets 
	(not including approved or observed meets) during the 12 months immediately preceding the request for reimbursement.
- The official must work a minimum of four sessions at the event for which they are requesting travel assistance. 
	For other than the Sectional and Zone meets, the official is expected to work the entire meet.
- Meets held within the geographical boundaries of PVS are not eligible for reimbursement. 
- Officials who are eligible for reimbursement for expenses by the host club/LSC/Zone/USA Swimming/etc. 
	are not eligible to submit a request for reimbursement to PVS for that meet.
- If driving to the meet, the standard IRS mileage rate for cars should be used,
	and only mileage from originating point to and from the meet location will be
	reimbursed. Food expenses are eligible for reimbursement up to a maximum of $70
	per day (expenses for alcohol are not reimbursed). 
In order to receive Education Travel Reimbursement, a PVS official must do the following:
	
	
	- The official should notify the PVS Officials Chair of the intent to request a reimbursement upon acceptance 
	to officiate at the designated meet, and prior to the date of the meet.
- Complete and submit the 
	Application for PVS Officials Travel Stipend
	no later than thirty (30) days after the competition for which travel assistance is being requested.
	and prior to the end of the fiscal year (August 31).
- A completed Expense Report must be included.  
	Use the Excel Spreadsheet Expense Report.
	Receipts for all expenses listed on the report are required.
	
	
Officials Education Travel Reimbursement Amounts
for the 2025-2026 Season
New Reimbursement Formula: $300 + $100 for each day of the meet
(Sectional & Zone Meets excluded and will remain at $500 reimbursement)
Officials may request a maximum of two reimbursements from National meets 
and a third reimbursement from Eastern Zone meets. 
In addition, one additional reimbursement may be requested for a World Aquatics meet.  
Meets held within PVS' geographical boundaries are not eligible for reimbursement.
